Volunteer Policy

By registering my child, I/we agree to work volunteer assignments for the required number of meets during the season. If I fail to serve my assignment or find an appropriate replacement for a meet, my $150 deposit will be deposited. You should not look at this deposit as a means to pay the money instead of volunteering. We need all the help that we can get to be able to execute an event.

Currently, each family is required to work at least 4 volunteer positions during the season. The number required will be determined once we know how many families are swimming.  We will have a team leader or committee leader for each volunteer group that you will work with to learn your role and coordinate your participation. We will provide the contact information for your team leader at a later date and time.

Volunteer Positions

Volunteer Coordinator: This person monitors all volunteer related activities, sends reminder emails regarding work sessions, and attends each meet to sign-in all volunteers and to ensure each position is filled. This is a season-long commitment and is considered a leadership role.
Works Home and Away Meets

Team Area/Bullpen: Volunteers supervise swimmers ensuring safety throughout the meet. In addition, they organize swimmers for their events and facilitate the smooth and timely transition to the staging area.

Staging: Volunteers align swimmers for their races, making sure each swimmer is in the correct event, heat, and lane. This position acts at the instruction of the Staging Official/Clerk of Course. It includes multiple event organization and quick response to adjustments made on the pool deck. This can be a fast-paced position with lots of noise.
Works Home and Away Meets

Staging Official/Clerk of Course (Team Training Required): This person is in charge of all staging procedures and ensures the efficient and accurate staging of all swimmers. In addition, this person assigns (and trains, if necessary) home and visiting volunteers to positions and works with Starters and Officials on deck. This is a leadership role.

Timers: Two timers per lane are responsible for taking the time of a swimmer or relay team: one from each team. The home timer records the times taken and will have a time sheet ready for the Runner.
Works Home and Away Meets

Head Timer (Team Training Required): This person is responsible to train all timers in how to perform their duties. Meet day timing activities like conducting pre-meet discussions with NFP and visiting timers (home meets only). These are to be done with the Starter and Head Official included.

During the meet, the head timer works with the opposing team’s head timer to monitor the times from each race. There should be no more than a .2 (two-tenths of a second) difference between both recorded times. The times of the swimmers have implications for the County Meet. If there is a problem with a timer accomplishing his/her task, the head timer supports and instructs that timer until mastery is complete.

This role is considered a leadership position.
Works Home and Away Meets

Stroke & Turn Judge (League Certification Required): Distinguished by their white shirts and blue shorts/pants, Stroke and Turn Judges confirm swimmers meet all rules during their swims. The rules for swimming each stroke are set out in the USA Swimming rules. Our league follows the start, finish, stroke and turn rules with one exception – Gwinnett County Swim League allows one false start before disqualifying someone for a false start.

Starter (League Certification Required):  Announce events and operate the starter system to start each event using both verbal and visual start cues.

Concessions: Sell concessions items from the team concession stand located in the clubhouse kitchen. These volunteers only work at home meets and their specific duties are assigned by the Concessions Chair. Please note: children are not allowed in the kitchen while the concessions stand is operating.

Set-Up/Clean-Up: Arrive early or Stay after home meets to set or return the pool deck for meet conditions. This job includes removing trash, moving tables and chairs, moving starting blocks and lane lines. It includes placing or taking down the NO PARKING signs and Meet Tonight signs at entrances.

Computer Person (League Training Required): The Computer Chair operates the league computer software prior to meets to enter required information and produce reports. During the meets, they supervise the computer room entering times, generating ribbon labels and meet results. After the meet, they certify and send the meet results to the league.

Computer Room Scoring (Team Training Required): Enters meet data to produce results and scoring. This position is also responsible for posting results, printing ribbon labels, and other administrative tasks. This position is filled for home meets only and is trained by the team Computer Person.

Computer Room Verifying: Verifies all data entered by the home team scoring volunteers. This position reports errors found and certifies all results as valid before events can be scored. This is filled for away meets only and is trained by the team Computer Person. 
Works Away Meets

Ribbons: Work attaching labels to the ribbons and sorting them into the swimmer’s file folder.

Runners: Collect time sheets, organize by lane and deliver promptly to the computer room.
Works Home Meets

Deck Support: This position includes any tasks needed on deck as directed by team leadership.  Those could include distributing water to volunteers, emptying trash, facilitating communication between volunteer roles/locations, etc. 
Works Home Meets

Clubhouse Assistant: This position includes helping to keep the clubhouse monitored and clean during and immediately following meets.  Duties could include guarding doors, restricting access to the building and/or portions of the building, providing assistance to the scoring room, emptying trash, moving furniture, vacuuming, etc.
